Product Mass Update
Product Mass Update lets authorized users change or repair many products with one queued operation. Use it when the same data, governance action, media, brand, or company-role change must be applied to a selected product set.
Mass Update is designed for controlled product operations, not for quick browser-side edits. Actualog validates the request, freezes the target list, runs the work in the background, and shows one operation result with target-level details.
Open Product Overview to start a company-scoped Mass Update. The Product Operations page is the history and result-review page; it is not the place where you select products or start the operation.
Where you can use it
Product Overview
Use Product Overview Mass Update for products in the selected company workspace.
Product Overview is the normal workspace for company product managers and governance users. The operation uses the same filters, selected rows, and target shape that you see in the grid. Brand updates in Product Overview always use the current workspace company as the Brand Owner company. You choose the brand; you do not choose or transfer the Brand Owner company from this page.
Product Stewardship
Use Product Stewardship Mass Update for platform-level or category-level repair.
Product Stewardship is available to Application Administrators and authorized Category Stewards. It uses the same queue-first operation model, but the target scope is based on stewardship authority instead of the selected company workspace. Brand repair in Stewardship can show a Brand Owner company selector first, then a brand selector for that company, when the server allows that operation.
Product Operations
The Product operations pages show operation history and operation results. They are for review, filtering, export, troubleshooting, and audit follow-up. You do not approve a Mass Update target-by-target before it starts; the queue request is validated before enqueue and rechecked while it runs.
Some system actions, such as category effective-template enforcement after template activation, also use the product-operation queue. These are reviewed in the same operation history even when they are not started from the Mass Update modal.
How scope works
Mass Update uses the product set you selected on the source page.
You can usually update:
- selected rows only;
- all rows that match the currently applied filters;
- all filtered rows except rows you manually excluded.
Filters must be applied before queueing. If filters are changed but not applied, Actualog blocks Mass Update until you apply or reset them. This prevents accidentally updating products from an old result set.
After you queue an operation, the target list is frozen on the server. Later changes to the grid, filters, paging, or row selection do not change the operation that is already queued.
Target shape
Product Overview and Product Stewardship can show concrete products, variant groups, and variant-family rows. Mass Update keeps that target shape explicit.
- Concrete products updates the product rows themselves.
- Variant groups updates shared group data where the operation supports group-level data.
- Variant group members updates the concrete products represented by selected families.
Brand Owner, brand, manufacturer, and some identity fields are shared identity data for a variant family. Actualog blocks single-variant edits that would split shared identity incorrectly.
How to run a Mass Update
- Open Product Overview or Product Stewardship.
- Apply the filters that define the product set.
- Select individual rows, or choose the all-filtered selection.
- Open the bulk action or Mass Update menu.
- Choose the operation.
- Fill in the operation options.
- Review the target count, selected category context, and any warning text in the modal.
- Queue the operation.
- Continue working while Actualog runs the operation in the background.
- Open the notification or Product operations page to review the result.
Queue and notifications
Mass Update runs through the product-operation queue.
When you queue an operation, Actualog:
- validates the recipe and permissions;
- freezes the target list;
- saves one operation record;
- runs targets in background chunks;
- rechecks product state and permissions during execution;
- writes target-level result rows;
- refreshes indexes and quality state when required;
- sends one terminal notification when the operation finishes or fails;
- writes one aggregate Action Log entry for the operation.
Actualog does not run browser-side loops that call a product API once per row. Closing the browser does not cancel a queued operation.
Results and history
Open Product operations to review queued and completed operations.
An operation result shows:
- operation type and status;
- who started it;
- started and finished time;
- applied, skipped, blocked, conflicted, and failed counts;
- operation-level changes;
- target filters by status and error code, when errors exist;
- paged product, group, or variant target rows;
- readable reasons for skipped, blocked, conflicted, or failed targets;
- a link to the aggregate Action Log entry.
Result pages show business-readable values where the operation supports them: product references, attribute names, brand names, company names and roles, media thumbnails or file names, language labels, and before/after primary-image information.
Operation options
Check data
Use Check data to recalculate product quality and readiness for the selected products. It updates completeness, validity, blocker, warning, and visibility-related quality signals.
Recalculate identity
Use Recalculate identity when category identity rules, product identifiers, brand/manufacturer context, or variant grouping inputs changed and selected products need identity recalculation.
Update names by template
Use Update names by template to regenerate product names from the current category naming template. This uses the existing product/category naming logic and does not mean free-text name replacement.
Update attributes
Use Update attributes to apply selected category attribute values to many products. Attribute choices follow the category template and existing attribute controls.
Update lifecycle stage
Use Update lifecycle stage to set the product lifecycle stage for the selected products, such as prototype, active, discontinued, or another configured lifecycle value.
Workflow and publication
Authorized governance users can run workflow or publication operations, such as submit, approve, reject, return to draft, publish, or unpublish, when the selected target states and user permissions allow the transition.
Update content
Use Update content for localized product content:
- Custom name;
- Description.
For each selected field, choose one mode:
- Replace writes the values you enter for the selected languages.
- Fill missing writes only empty or missing terms.
- Clear explicitly clears terms for the selected field and languages.
Empty text in Replace or Fill missing does not clear existing content. Clearing is destructive and must be chosen explicitly.
Localized content fields use the standard Actualog multilingual controls. They show inputs for your Data Languages and keep the same translation, Markdown, language, naming, and validation behavior used by product edit pages.
Update media assets
Use Update media assets to add or remove product media, set a primary image, or clear a primary image.
Available actions:
- Add media assets links selected media assets to the selected products or groups.
- Remove media assets unlinks selected media assets from the selected products or groups.
- Set primary image makes one selected image the primary image in the selected product or group scope.
- Clear primary image removes the primary-image marker in that scope.
Use the media asset selector to search by title, description, tags, identifier, source, kind, type, and sort order. Do not enter document IDs.
Removing media unlinks the product or group media relationship. It does not delete the shared media asset from the media library. Setting a primary image requires an image already assigned in the selected scope. Removing or clearing a current primary leaves that Product or Variant Group without a primary image; Actualog does not promote another gallery asset automatically.
Update brand
Use Update brand to assign or repair brand information for Brand products.
In Product Overview:
- the Brand Owner company is the current workspace company;
- the Brand Owner is shown as locked context;
- you choose a brand from the brands available to that company;
- Actualog validates that the selected brand is allowed for each target category;
- Brand Owner transfer is blocked.
In Product Stewardship:
- Application Administrators can select the Brand Owner company first when repair requires it;
- the brand selector then loads brands for that Brand Owner company;
- Category Steward brand assignment is limited to server-allowed missing-owner cases until a separate unclaimed-brand claim and transfer model is implemented.
Use Clear invalid brand only when Actualog has identified the current brand assignment as invalid. It removes the invalid product brand assignment. It does not delete the Brand record, the company, or company relationships.
Update related companies
Use Update related companies to add or remove ordinary company roles on selected products.
Available actions:
- Add roles adds selected roles for selected companies.
- Remove selected roles removes only the selected role bits.
- Remove company relationship removes the whole product-company relationship for selected companies.
Available ordinary roles include Manufacturer, Designer, Consumer, Distributor, Service provider, and Supplier. Brand Owner is not edited here; use Update brand for Brand Owner and brand authority changes. The technical "All" role is not allowed.
The company picker uses the shared company search and selected-company view, including logo, display name, profile link, and company popover behavior. Normal company users can update only relationships they are authorized to manage. Application Administrators can target other companies when the server permission checks allow it.
Enforce effective template
When an effective category template changes, Actualog can queue enforcement for affected products. This operation updates template version stamps, prunes obsolete attribute values, triggers name or identity recalculation when needed, and runs data checks for products that need readiness repair.
Destructive actions
Mass Update never treats an empty field as a request to delete data.
Destructive actions must be selected explicitly:
- Clear localized content;
- Remove media assets;
- Clear primary image;
- Remove company roles;
- Remove company relationship;
- Clear invalid brand.
Read the modal text before queueing. Destructive sections describe what will be removed, such as removing selected media assets from selected products or removing the Distributor role for selected companies.
Permissions and safety rules
Actualog checks permissions before enqueue and again while the worker executes the operation. A product can be skipped or blocked if its category, company relationship, workflow status, brand authority, or user permission changes after the operation was queued.
Important rules:
- dirty filters block queueing;
- target scope is frozen server-side;
- products changed after preview can be skipped or blocked;
- Product Overview brand updates cannot transfer Brand Owner authority;
- Product Stewardship brand repair follows Application Administrator and Category Steward rules;
- related-company Mass Update rejects Brand Owner and All roles;
- media removal never deletes the shared media library asset;
- single concrete variant edits cannot split shared group identity.
Common mistakes
Do not queue Mass Update before applying filters. If the filter button shows pending changes, apply or reset filters first.
Do not use Product Overview to repair a Brand Owner company that belongs to another company. Use Product Stewardship when you have stewardship authority.
Do not remove media assets expecting them to disappear from the media library. Mass Update removes product links only.
Do not clear content by leaving text fields blank. Use the Clear mode only when you intentionally want to remove content.
Do not use related-company roles to change Brand Owner. Brand authority belongs to Update brand.
